OVERVIEW: This section guides Users to find, view, add and edit Contacts. The Contacts module is used to allow quick access to shared contact information. The contact's information can be linked to the Product's Manufacturers and Suppliers.
Steps
- Open the Manage Contact form.
- Search for the Contact to be viewed or edited. If the Contact is not found, it can be added. See New Contact.
- Double clicking on a Contact will open the Contact Details form through which the User can view or edit the details of the selected Contact.
When editing the Contact Details form, the changes will be automatically saved.
OVERVIEW: This section guides the Users to add, edit and view Contact Details.
Contacts Panel
This panel contains a summarized version of the information contained in the Contact Details panel. The Contacts are displayed in a list in the Contacts panel. To view or edit the details of the Contact Record, double click the record in the grid of the Contacts panel. This will populate the fields contained within the tabs at the bottom of the screen with information relevant to the chosen Contact Record.
This panel contains fields for a company/contact Picture, Name of Contact, Title, Company, Business Phone and E-Mail Address.
Context Menu
New Contact: Opens the New Contact form, ready for data entry.
Clone: Creates a cloned copy of the Contact Record and related information.
Refresh: Refreshes the list of Contact Records in the grid to contain new records and updated information.
Delete: Deletes the selected Contact Record.
Contact Details Panel
- Image: The User can drag and drop an Image to represent the Contact.
- Name: The Full Name of the Contact
- Title: The Contact's responsibility Title
- Address: The Address of the Contact
- E-Mail: The Contact's business E-mail.
- Company: The name of the Contact's company
- Web Site: The Contact's main Website address
- Notes: Additional comments on the Contact
- Business: Business Phone number
- Ext: The extension phone number if applicable
- Toll Free: Toll free business Phone number
- Ext: The extension phone number if applicable
- Fax: The Fax number
- Ext: The extension phone number if applicable
- Home: The Contact's home number
- Cellular: The Cellular phone.
- Pager: The Contact's Pager number
Other Panels
Other panels are provided for storing as much details about the Contact as the User would like. These are:
- Professional
- Personal
- Other
- Contact Groups
NOTE: When the information contained in a record is edited, the changes are automatically saved upon closing.
Select Contacts
The left panel is where contacts are selected to be merged with a Master contact entry.
To select multiple entries, hold the Ctrl key and click each desired Company.
Merge with Contact
To merge contacts, drag selected contact(s) from the left panel over one entry found in the right panel.
The master list of contacts is administered in the Manage Contacts form.
OVERVIEW: This section guides Users to Add a New Contact record into VimBiz.
Add New Contact
- Search for the contact which needs to be added into the VimBiz system using the Smart Search or Advanced Search panels to ensure the Contact Record does not already exist.
- If pre-existing, it may be edited, or Cloned and then edited to meet User requirements.
- Right click in the Contacts Panel grid to access the Context Menu Options and select New Contact. This will open the New Contact Form.
- Enter as much data as possible or necessary. See Contact Details for more information.
- Click the Save Button to save the record.
- Click the Cancel Button to cancel the record entry.
Context Menu

NOTE: Right clicking in a blank grid Contacts Panel will only offer two of the four Context Menu Options. Right clicking in a Contacts Panel which has records listed in the grid will offer all four Context Menu Options
OVERVIEW: To avoid duplicate and incomplete entries, users can quickly merge similar information into one master record. This feature is especially helpful for companies importing spa lists.
