Rental Products can be booked, checked out, and checked in. See Products for more information.
A Product can be not inventoried, which can mean two things:
- The Service Center does not have any. It will be obtained later (through a purchase or a rental).
- The Service Center has a lot of it and, for practical reasons, does not want to inventory it.
It is possible to add a Product that is not inventoried to a Rental. This allows to add a Product that is not available when the Rental is created. Example: A Product needs to be purchased but is currently in another Service Center.
Catalogue Products - Assets
Catalogue Products can be added to a Rental. However, Catalogue Products have no intrinsic physical existence. Each item of a particular Product is called an Asset.
For example, there can be three Assets of the Product Canon 400 mm f/4, respectively barcoded Lens01, Lens02, and Lens03, as shown below:
When a Product is added to a Rental, it is unresolved until an Asset resolves it.
For example, if a user adds the Catalogue Product Canon 400 mm f/4 to a Rental, the Product will be shown as unresolved.
Then, when the user adds the Asset Lens01 to the Rental, the Product is resolved by that Asset.
Stockroom Products
Stockroom Products are usually not barcoded. They are tracked by quantity and physical location.
Stockroom Products can be rentable, which means that they must be returned during Check In, unless they are non-rentable (consumable). This attribute is inherited from the Room they are in.
Stockroom Products are rentable if the stockroom is also a Rental room.

Note: When a Service Center has many rentable Stockroom Products that do not want to be inventoried, it is advised to enter a very high quantity (example: 10000). This avoids having unresolved Products in Rentals
Assets are the most important rental items that should be barcoded. Each assetAn asset is a piece of equipment or software identified by a unique identifier, normally via a barcode or RFID tag. Because of this unique identification, VimBiz can monitor how assets are purchased, assigned, serviced, and used. This complete asset life-cycle management capability allows companies to know where fixed and mobile assets are located, monitor asset status, and determine true costs of asset ownership. is tracked to a physical location. VimBiz can manage the list of products for the inventory of technical assets and stockroom items. Product inventory is used by the Rental module and the Service module, as well as when defining facility inventory. Product inventory is also used in the Project Management module to track additional project activity expenses. Assets available for rental should be configured as rentable. Fixed assets are usually configured to be non-rentable. The rentable assets should be in rental rooms that are linked to the Service Center. Assets should be labeled with a barcode to facilitate the identification of the asset. However, assets that do not contain a barcode can be added manually using the serial number or by searching for the asset.
Booking Process Notes
- Booking Assets: Manually adding or scanning an asset will add the asset record and the product record to the rental contract. The related products or assets will also be added to the booking.
Kits are a container of Products and Assets. Typically, the kit container is barcoded to identify items in the container; box, bag, backpack, or a metal container. Kits can also be configured to have a list of items that are identified as the Kit’s minimum content to confirm the Kit’s “complete” status.
