Forms
OVERVIEW: Company Settings allow an organization maximum flexibility in configuring VimBiz to meet its specific needs.
Categories
A group of Settings that are related to a specific Category.
Click on an item to populate the Settings tab.
Settings
The Settings Tab lists all available settings. These can be grouped by selecting a Category.
Description
A brief explanation of the setting and the value options available.
Value
The setting configuration. To change a value, double-click on the cell and type the desired Value.
OVERVIEW: Advanced Searches that are saved throughout VimBiz forms are managed in this form.
Form Name
The name of the form to which the Saved Search is associated, and, consequently, the form where the search will be available.
Name
The label given to the Saved Search
Description
A description of the search's content and function
WHERE Clause
The SQL WHERE Clause associated with the Saved Search
OVERVIEW: The Company Details form contains many important basic, organizational level, configurations.

Scheduling
Defaults
Available Event Type: The default Available Event Type will replace the facility booking event in an employee’s schedule when a facility booking event containing employee roles is changed, i.e. an employee is cleared from the role or is replaced by another employee.
Non-Available Event Type: The default used to indicate an Employee is assigned to a task and is not available for other work when scheduling employees for projects.
Default Timezone: The default automatically assigned to new Regions and Employees.
Auto Fill Event Type:
Copy Custom Rates: Enable to create an auto-filled event which retains the custom rates from the first event of the day. Disable to allow auto-fill events to have different rates than the first event of the day.
Publishing
Calendar Account Login: The login User Name for the calendar. VimBiz supports Google calendar.
Calendar Account Password: The password for the calendar.
Publish Calendar to Team: Select this option to share the calendar with team members.
Restricted Vacation Planning
When Employees submit Vacation request dates, the status of the Schedule Event will respect these default settings.
Start Date: The Start date for the Restricted Vacation Period.
End Date: The End date for the Restricted Vacation Period.
Request Start Date: Employees can start submitting Vacation request days.
Request End Date: The last day for Employee’s to submit their Vacation request days.
Planning Start Date: Planners can start analyzing Employees’ Vacation requests.
Planning End Date: The last day for Planners to officially Publish the Vacation Schedule.
Notice: Any notes entered here will be displayed in all Scheduling Requests.
Rentals
Rental Terms Text: Any notes entered here will be displayed in the Rental Contract report.
Service
SR Reference Number Details
Include Date: When enabled, today’s Date will be added to the Service Request Reference Number with a YYMMDD format.
Include Region Code: When enabled, the Region Code of the currently logged in User will be added to the Service Request Reference Number.
Include Building Code: When enabled, the Building Code of the currently logged in User will be added to the Service Request Reference Number.
Reference Number Separator: The character used to separate Reference Number parts. If blank, there will be no separator.
Minimum Digits: The minimum number of digits for creating a Service Request number.
Minimum Digit Character: The character placed at the beginning of a Service Request number when the minimum digits are not met. If blank, a space will be inserted by default.
Include SR ID: When enabled, the Service Request ID will be added to the Service Request Reference Number. When disabled an auto-incrementing counter will be used.
Regen. SR Ref. # button: Click to regenerate all Reference Numbers for existing Service Requests.
SR E-Mail Application Settings
Default Pred. SR for VimBiz Email Application: The default predefined Service Request when using the VimBiz email application.
Purchase Order
Purchase Order
Display Signature in PO: Enable to insert an Employee's digital signature in a purchase order.
Send PO E-Mail: Enable to send an email to the specified Email addresses when a PO is "Marked as Sent".
Invoice Attention To: Enter the name of the person or department to whom Invoices should be sent. This will appear in the Purchase Order report.
PO E-Mail Addresses: Enter any email addresses to be used when a PO is "Marked as Sent". Use a semicolon (;) to separate multiple email addresses.
PO Instructions:Enter any instructions to the supplier, which will automatically appear in all the PO reports.
Auto-Authorization Amount: Enter a pre-authorized PO amount. Any PO under this amount will automatically be authorized.
PO Terms Image: Double-click the box to select an image to illustrate purchase order terms.
Match Sale/Purch. Prices: When enabled, the Purchase Price will always match the Sale Price of Ordered Products.
Show Cost Centers on PO: When enabled, Cost Centers will be displayed on the Purchase Order report.
Show Line Item Details: When enabled, the line item details (Taxes and Discount) will be displayed on the Purchase Order Report.
Show Accounts on PO: When enabled, the Accounts will be displayed on the Purchase Order report.
Show Currency on PO: When enabled, the currency will be displayed on the Purchase Order Report.
Default Currency: Select the default currency.
PO Terms Text: Enter any notes, which will be displayed in the Purchase Order report.
Finance
SR Supplier Invoice FTP Settings
FTP Address (Including Port Number):Enter the FTP address for Service Request Supplier Invoinces.
Username: Enter the FTP Username.
Password: Enter the FTP Password.
Projects
Separation #: The number of characters after which the Project Number will be separated. The default is 0, which is no separator.
Separator: The character used to separate a Project Number. The character is placed at the Separation # specified above.
Prefix: The character placed at the beginning of the auto-generated Project ID when a new project is created.
Settings
The settings under this tab allow for VimBiz to be customized to suit the specific company needs. have a detailed description attached to them. Other settings are available, and can be administered, in the Company Settings form.
ID: Each setting is assigned an ID. ID's can be sorted by clicking on the ID header.
Category: This the setting Category. All setting are grouped by Categories and can be sorted by clicking on the Category header.
Setting: This is the setting name .
Description: This is a brief description of the setting.
Value: The Value setting can be changed to customize VimBiz to work with company-specific needs.
Outgoing E-Mail
VimBiz SMTP settings for outgoing e-mail and Web access.
Outgoing E-Mail
SMTP Server: The SMTP server used by VimBiz to send e-mails.
SMTP Port: The SMTP port used by VimBiz to send e-mails.
SMTP User: The username to the SMTP server.
SMTP Pass: The password for the SMTP server.
VimBizWeb URL: The URL address used to access VimBizWeb.
Test: The Test button is used to ensure that all the SMTP settings are corect.
Tip
E-Mail notifications sent out from VimBiz will use the e-mail address specified in the Employee Details for the currently logged in user. If no e-mail address is specified, an e-mail will still be sent, but will use info@vimsoft.ca as the sender. For e-mail notifications, it is recommended that new VimBiz Users be created for the SMTP server. Doing so will provide an appropriate ‘VimBiz’ sender in the ‘From’ field for e-mail notifications generated in VimBiz. These steps will initiate e-mail notification capabilities on the Server copy of VimBiz. For Client Users to receive notifications, a valid e-mail address is required for each appropriate user. View the Employee Details help file.
Invoice
Invoice Terms
Text: Area where notes can be entered. These notes will be displayed in the Invoice report.
Image: Area where an image can be inserted. This image will be displayed in the Invoice report.
Quote Terms
Text: Area where notes can be entered. These notes will be displayed in the Quote report.
Image: Area where an image can be inserted. This image will be displayed in the Quote report.
Sales Order Terms
Text: Area where notes can be entered. These notes will be displayed in the Sales Order report.
Image: Area where an image can be inserted. This image will be displayed in the Sales Order report.
Account Rec. Employee:
Shipments - Invoice Product:
Warehousing
Minimum Pallet Charge: The monthly minimum amount charged per pallet in storage.
Minimum Lot Charge: The monthly minimum amount charged per lot in storage.
Initial Monthly Storage Product: The default initial storage product used for invoicing calculations.
Monthly Storage Product: The default storage product used for invoicing calculations.
Initial Weekly Storage Product: The default initial weekly storage product used for invoicing calculations.
Weekly Storage Product: The default weekly storage product used for invoicing calculations.
Default Handling Product: The default handling product used for invoicing calculations.
Default Freezing Product: The default freezing product used for invoice exportation.
Simply Accounting Country: The default country for Simply Accounting.
Simply Accounting Version: Version code for Simply Accounting export.
Charge Transfer Handling: Charge a handling fee when processing a transfer arrival invoice.
BOL Cooler/Reefer Notes: Note that will appear on the Bill of Lading report in the Cooler/Freezer notes label.
Other
Production Server Name: Enter the name of the Production Server.
Production Database Name: Enter the name of the Production Database.
Copy Current: Click to automatically fill the Production Server Name and Production Server Database Name fields.
Report Logo: This logo will appear on all reports generated out of VimBiz. It should not exceed 250 pixels wide and have a white background. To change the logo, double-click on the Logo Image placeholder and select the desired .gif or .jpg file; alternatively, drag and drop the logo file directly on the Logo Image placeholder.
External reports: This logo will appear on all external reports for customers and suppliers.
Company Name: Enter the company name. By default, the company name inserted during installation.
NOTE: Changing the Company Name, after installation, will require a new license key. If the name is changed without updating the key, users will not be able to log in until a valid key is entered for the new name. Please contact Vimsoft before changing the Company Name.
License Key: The license key provided by Vimsoft.
Description (optional): A description of the company. The default is the company name inserted during installation.
Address: Area to insert the various addresses for the organization. A list of addresses is administered in the Manage Addresses form, which is accessed by clicking the button.
Background Logo: This logo will appear in the Start Up screen and can be any size, but should have a transparent background. It is recommended to store the logo in the “Vimsoft/VimBiz/images” folder. Click on the Browse button and select the desired file.
Tax Reference # (optional): The company tax reference number, important for the accounting module.
FY End Date: The company fiscal year end date, important for the accounting module.
Weekday Start: The day on which the company's work week begins.
First Week Of Year: The week on which the company's calendar year begins, in numeric value.
Industry: Displays the organization's industry of choice.
UTC: Enable if the company will be using Coordinated Universal Time (UTC) in scheduling and other time-related tasks.
URL: Enter any company URL's. When entering multiple URL's, separate using a comma.
OVERVIEW: Users can import Asset, Employee, Employee Title, Location, Product Supplier and Product, and Roles data, from a Microsoft Excel, Microsoft Access or a DBase file.
Importing Assets
- In the Bulk Asset Importing form, select the Browse button to locate the Microsoft Excel file to be imported
- Once the file is located, Users will be returned to VimBiz, where the Data Mapping grid will be populated
- Select the option from the Table/Sheet drop down list, where importing data is located
- In this grid, the left column represents the Microsoft Excel file column heading, while the right column represents the VimBiz field names to which the left column headings will be linked.
- If the column names match a VimBiz field, they will be automatically linked. If not, Users can simply double-click on the right column and then select the appropriate column to which it should be linked.
- Once all desired columns are linked to VimBiz fields, select the Continue button.
This will bring the User to the Data Importing tab. There are 7 columns in this grid:Import Field Name:

Action: - Once all fields are mapped and edited correctly, the User is presented with the following options:
- Verify the data, by clicking on the Verify button
- Skip a particular Asset, by clicking the Skip button
- Import a particular Asset, by clicking the Import button
- Import all Assets, by clicking the Import All button
- Cancel the import function, by clicking on the Cancel button

OVERVIEW: This section allows companies to configure one or many languages for their users.
ADD: Click on the New Language button
EDIT: Double-click on an entry to view its details.
DELETE: Right-click on a language and select Delete from the context menu.
- The default setting for companies working exclusively in one language should be Lang_EN.
- For companies who would like to work simultaneously in two languages, one that points to Lang_EN and the second that indicates Lang_FR.

Image
Insert an image that represents a language.
For example, flags are a worldwide symbol for language options.
Name
The name of the language.
Data Field
In VimBiz, companies have the option to work in only one language or simultaneously in two languages.
- The default setting for companies working exclusively in one language should be Lang_EN.
- For companies who would like to work simultaneously in two languages, please contact Vimsoft for assistance with this configuration.
For example, in Canada, where the official languages are English and French, national companies want to offer this linguistic flexibility to their employees.
Define whether the data will be loaded from the EN column or the FR column.

New Language
Click this button to create a Language entry.
EDIT: Double-click on a Table to view its contents.
Table Name
The name of the Table that contains related data.Double-click on a Table Name to open the Translate form.
VimBiz Default Language: Text in this column will appear when the Language is set to Lang_EN in the Company Settings form.
Translated Language: Text in this column will, by default, be identical to the entries in the Default Language column.
EDIT: Double-click on any cell to change the text.
Form Exists
EDIT: Double-click on a record to open the Details form.
Name
Name of the Module for which E-Mail content can be configured.
IMPORTANT: Currently, only the Service and Discrepancies modules are configured for this functionality.
Service Center
When the Service Center box is checked, this is to indicate that the E-Mail Content will be configured per Service Center
Service Centers are administered in the Service Centers form.
E-Mail Content is configured in the Service Center Details form.
OVERVIEW: Users can be added manually to VimBiz using the Company Settings form. It is also possible to use your current Active Directory users structure by following the instructions found in the Users and Permissions section in Multi-User and Network Installation.
Users
List of VimBiz Users and their User Groups
Context Menu
The context menu options allow the user to:
- New User: create a new User, explained in point #9 below
- Change User Password: change the User's password used to connect to the VimBiz database
- Fix User:
- creates a SQL Login for the user on the server
NOTE: Refrain from using this option for users that are part of a SQL Login which represents an Active Directory Group. Typically these users are created automatically during the setup process of VimBiz in the event the Fix User option is used regardless of the above note, this option will create a SQL login for the selected user which means the said user will no longer be managed through the SQL Group
- drops and recreates the user on the VimBiz DB and VimDev DB
- adds the User to the appropriate roles based on the User Group Users table data
- creates a SQL Login for the user on the server
- Fix All Users: same as the Fix User option, but for all users
- Unlock User: the user may be locked on the SQL server following too many attempts at logging in with the wrong password, this option allows the System Administrator to unlock the user from VimBiz.
NOTE: As depicted in the image above, the Username of a locked user will be highlighted in a light red color
- Refresh (F5): refreshes the list of Users
- Export to HTML: exports the list of Users of the displayed page to an HTML file
- Export to EXCEL: exports the list of Users of the displayed page to an EXCEL file
- Delete User From VimBiz and Server: deletes the user on the VimBiz and VimDev databases and attempts to delete the SQL User.
NOTE: The latter sometimes fails when the SQL User is used by other databases on the SQL server
- Delete User From VimBiz Only: deletes the user on the VimBiz and VimDev databases
Search Users
The VimBiz Smart Search allows to quickly find a specific user under the Users tab
License Statistics
This tab provides various statistics on the company's VimBiz licenses
Company Name: The company name, as configured in the Company Details form
Purchased Licenses: The number of licenses purchased by the company
Heavy Licenses Used: The number of heavy licenses used within the company
Light Users: The number of light users within the company
Remaining Licenses: The number of licenses yet to be used within the company
Username
The name that will appear in the Login field.
A suggested standard is the User's Last Name and First Name initial with no spaces (i.e. SmithJ).
User Groups
Listing of all User Groups assigned to the User, User Groups are managed in the Manage User Groups form
Licensed
Indicates whether or not the User requires a heavy-user license, determined by the User Groups assigned to the user
User Groups are explained in the Manage User Groups topic
Employee
Name of the employee associated to the User
SQL Login
Indicates whether or not the User uses an SQL Login
New User
Clicking on this button will open the New User form.
Prior to adding a new User, an Employee profile should exist in VimBiz, new employees are created via the New Employee form.
Note that an Employee profile can be created in VimBiz for operational purposes without being assigned as a User.
To retrieve an Employee for whom a User profile will be created, click on the button, which will open the Find Employee form.
For more details on this employee, click on the button.
Employee ID:VimBiz will automatically insert an Employee ID Number once an Employee is retrieved
Windows Authentication: Check this box to indicate whether or not Windows Authentication is permitted for login
Password: Enter a Password that the new User can use to log in for the first time.
Retype Password: Enter the same Password in this field.
TIP: Make a note of this Password so that you can inform the new User.
Permission Group: Select a Permission Group from the drop down box to assign to the User. Permission Groups are managed in the Manage User Groups form.
Language: Select the User's Language preference.
User Groups
Once a user is created, it is possible to link them to additional groups.
Click on the user to modify and click the Add Groups button, or right-click in the User Groups list and select the Add Groups option.
Groups that are managed in the Manage User Groups form can be dragged and dropped in the Assigned User Groups section.
To Delete a Group, right-click the Group to be deleted and select Delete.
Add Groups
To assign user groups to a user, select a record from the left panel then drag and drop it into the right panel.
OVERVIEW: VimBiz is currently shipped with a list of predefined User Groups. A User Group defines the type of work performed by an employee and allow access to all VimBiz forms the user will need to perform his day to day tasks.
The creation of Custom User Groups is simple, thanks to the Vimsoft predefined list of Workflows.
The Company Settings topic covers these concepts in detail.
User Groups
List of active VimBiz predefined User Groups
Context Menu
The context menu options allow the user to:
- New User Group: create a new User Group, the new User Group will be placed under the Custom Groups tab
- Deactivate User Group: deactivating a User Group will move the User Group to the Inactive Groups tab
NOTE: Normally, only User Groups with no user under the User Group Users should be deactivated. Deactivating a User Group with users under the User Group Users tab will place the User Group under the Inactive Groups, but will not have any other impact. Such User Group will become Active again after the next VimBiz Updater. The VimBiz Updater process renders inactive any User Group for which no user is assigned, and renders active User Groups for which at least one user is assigned.
- Clone: this option clones the selected User Group, the Cloned User Group Details form will request the name of the new resulting User Group. The new resulting User Group will appear under the Custom Groups tab
- Import User Group From XML: User Groups can be exported to an XML file format via the Backup and Restore User Groups form (Point #6 below)
The Import User Group From XML option allows the importation of a User Group previously exported as an XML fileNOTE: This is particularly useful when a User Group is created in a Test environment and is to be imported in a Production environment. This function is also available as a button (Import) under the User Groups, Custom Groups and Inactive Groups tabs.
- Refresh (F5): refreshes the list of User Groups
- Verify User Group Permissions: this option verifies that the permissions as found in VimBiz and the ones as found on the SQL server are synchronized
TIP: Perform this operation when the permissions as seen in VimBiz don't appear to work properly for the user part of the concerned User Group
- Verify Permissions For All User Groups: performs the previously explained verification for all User Groups under the selected tab
- Reapply User Group Workflow Permissions: this option reapplies all the permissions found in the workflows assigned to the selected User Group
TIP: Perform this operation when the permissions as seen in VimBiz don't appear to work properly for the user part of the concerned User Group
- Reset and Reapply User Group Permissions: by selecting this option, all permissions found on the SQL server for the selected group are disabled, then the permissions as seen in VimBiz are reapplied
- Edit User Group Data Classification Level:
- Remove All Permissions: this option removes all forms, table permissions, stored procedures, workflow groups and workflows as seen in VimBiz and on the SQL server for selected User Group
Custom Groups
List of User Groups created by the customer. This tab is empty by default.
The grid found under this tab has one extra parameter: Lock Permissions:
Custom User Groups should not be modified during the VimBiz Update process.
The Lock Permissions option is useful to warn a system administrator trying to add forms, tables, stored procedures, workflow groups and/or workflows to a locked User Group.
NOTE: It is recommended to refresh (F5) the panel/grid in order to confirm the changes have been saved
A warning asking to confirm overriding the lock will appear on the screen.
Context Menu
Extra context menu options are available under this tab, in addition to the ones found under the User Groups tab:
- Delete: deletes the selected User Group
NOTE: A custom User Group can only be deleted when users are no longer assigned to it
- Check All: select this option when right-clicking on the Lock Perms column to check all its boxes for the displayed page
- Uncheck All: select this option when right-clicking on the Lock Perms column to uncheck all its boxes for the displayed page
Group Info
The Group Info tab offers more information on User Groups, such as the details and user count for each group.
Inactive Groups
List of inactive User Groups
In order to make the VimBiz Update process faster, all User Groups for which no user is assigned are rendered inactive by default
NOTE: To manually render a User Group inactive, from the User Groups or Custom Groups tabs, right-click on the said User Group and select the Deactivate User Group option. To manually render a User Group active, from the Inactive Groups tab, right-click on the said User Group and select the Activate User Group option.
Import User Group
User Groups can be exported to an XML file format, under the Backup and Restore User Groups form (Point #6 below)
The Import User Group button allows the importation of a User Group previously exported as an XML file
NOTE: This is particularly useful when a User Group is created in a Test environment and is to be imported in a Production environment. The Import User Group From XML option is also available as a context menu option under the User Groups, Custom Groups and Inactive Groups tabs
Backup and Restore
Opens the Backup and Restore User Group form
Context Menu
The following context menu options are available via this form:
- Refresh (F5): refreshes the list of User Groups
- Restore User Groups from XML: Restores User Groups from a previously saved XML file.
- Export User Groups to XML: Exports User Groups to an XML file.
- Export: Export User Groups to XML, Excel (2003/2007), HTML or CSV.
User Group Description

User Group Permissions
Forms: the number of forms the User Group has been granted or denied access to (found under Form Permissions tab)
Read: the number of SELECT permissions granted to VimBiz tables (found under Database Permissions tab)
Insert: the number of INSERT permissions granted to VimBiz tables (found under Database Permissions tab)
Update: the number of UPDATE permissions granted to VimBiz tables (found under Database Permissions tab)
Delete: the number of DELETE permissions granted to VimBiz tables (found under Database Permissions tab)
SP: the number of stored procedures the User Group has been granted or denied access to (found under Stored Procedure Permissions tab)
Licensing Information
The YES value in this column indicates the User Group requires a heavy-user license.
A blank value indicates the User Group does not require a heavy-user license, hence users that are part of only this type of User Groups are considered light-users.
VimBiz Forms
The Form Permissions tab lists the forms the selected User Group has access to.
Context Menu
The context menu options allow the user to:
- Manage User Group Forms: manually grant the User Group access to a form not already in the list
The Add Forms button has the same function as this context menu optionNOTE: Vimsoft recommends, by default, to use Workflows when extra permissions are to be given to a User Group.
TIP: This tab is very useful to add exceptions to a VimBiz Workflow, i.e. a form granted access by a workflow can be denied access by combining the Grant (check box unchecked) and Lock Perms (check box checked) options.
- Refresh (F5): refreshes the list of forms
- Check All: select this option when right-clicking on a column containing a check box (Preload Form, Grant, Lock Perms) to check all its boxes for the displayed page
- Uncheck All: select this option when right-clicking on a column containing a check box (Preload Form, Grant, Lock Perms) to uncheck all its boxes for the displayed page
- Delete: removes the selected form from the list
The following is a description of the grid columns:
- Form: the name of the form
- Menu: the menu attribute value of the form
- Platform: there are three type of forms:
- .NET forms: these are Rich VimBiz client forms only
- ASP .NET: these are VimBiz Web client forms only
- .NET Forms & ASP.NET: these are forms found in both the Rich VimBiz and VimBiz Web clients
- Preload Form: forms with this option checked will be pre-loaded when VimBiz is first opened, making them quicker to open once in VimBiz
NOTE: Beware, enabling the Preload Form option on too many forms will slow down the VimBiz log in process.
- Licensed: when a form has the value of YES under this column, it means that Vimsoft has determined that a User Group granting access to this form requires a heavy-user license
- Grant: this check box needs to be selected if the User Group is granted access to the selected form
TIP: Combining the Grant (check box unchecked) and Lock Perms (check box checked) options will assure the form cannot be accessed by the User Group.
- Lock Perms: this option allows the user to "lock in" the Preload Form and Grant columns' configuration
NOTE: With this option, the VimBiz updating process, or re-applying the User Group's permissions, will not override the selected configurations.

Database Tables
The Database Permissions tab lists the type of permissions (SELECT, INSERT, UPDATE, DELETE) the selected User Group has on VimBiz tables.
Context Menu
The context menu options allow the user to:
- Manage User Group Tables: manually grant the User Group access to a table not already in the list
The Add Tables button has the same function as this context menu optionNOTE: Vimsoft recommends to use Workflows when extra table permissions are to be given to a User Group
TIP: This tab is very useful to add exceptions to a VimBiz Workflow, i.e. table permissions given by a workflow can be denied by removing a permission (SELECT, INSERT, UPDATE, DELETE) and then by enabling the Lock Perms option
- Refresh (F5): refreshes the list of tables
- Check All: select this option when right-clicking on a column containing a check box (SELECT, INSERT, UPDATE, DELETE, Lock Perms) to check all its boxes for the displayed page
- Uncheck All: select this option when right-clicking on a column containing a check box (SELECT, INSERT, UPDATE, DELETE, Lock Perms) to uncheck all its boxes for the displayed page
- Delete: removes the selected form from the list
The following is a description of the grid columns:
- Table: the name of the table
- SELECT: grants access to reading table content
- INSERT: grants access to inserting data in the table
- UPDATE: grants access to updating the data in the table
- DELETE: grants access to deleting data in the table
- Lock Perms: this option allows the user to "lock in" the selected permissions (SELECT, INSERT, UPDATE, DELETE) for the selected table
NOTE: With this option, no operation will change the selected configurations unless a change is manually done in the grid
I.E. Adding/Removing Forms, Workflows and Workflow Groups will not change the selected configurations, nor will Enabling/Disabling Workflows
Stored Procedures
The Stored Procedure Permissions tab lists the stored procedures the selected User Group has access to.
Context Menu
The context menu options allow the user to:
- Manage User Group Stored Procedures: manually grant the User Group access to a stored procedure not already in the list
The Add Stored Procedures button has the same function as this context menu option.NOTE: Vimsoft recommends to use Workflows when access to extra stored procedures are to be given to a User Group
TIP: This tab is very useful to add exceptions to a VimBiz Workflow, i.e. access to a stored procedure given by a workflow can be denied by removing the EXECUTE check mark and then by enabling the Lock Perms option.
- Refresh (F5): refreshes the list of stored procedures
- Check All: select this option when right-clicking on a column containing a check box (EXECUTE, Lock Perms) to check all its boxes for the displayed page
- Uncheck All: select this option when right-clicking on a column containing a check box (EXECUTE, Lock Perms) to uncheck all its boxes for the displayed page
- Delete: removes the selected stored procedure from the list
- Export to HTML: exports the list of stored procedures to an HTML file
The following is a description of the grid columns:
- Stored Procedure: the name of the stored procedure
- EXECUTE: grants access to executing the stored procedure
- Lock Perms: this option allows the user to "lock in" the selected EXECUTE option for the selected stored procedure

User Group Users
The User Group Users tab lists all the users assigned the selected User Group.
Users can be assigned to the selected User Group by selecting the Manage User Group Users context menu option or by clicking on the Add Users button.
Workflow Groups
The Workflow Groups tab lists the Workflow Groups assigned to the selected User Group
Adding a Workflow Group to a User Group will add all workflows found in the Workflow Group to the User Group
The Workflows column shows the number of workflows found in the Workflow Group
The Assigned column is a count of Workflows contained in the Workflow Group that are assigned and "Enabled" in the User Group.
Note
It is possible that Workflow Group workflows were removed or disabled from under the Workflows tab thus the reason why the Assigned quantity may be lower than the Workflows column number
Workflows
The Workflows tab lists the Workflows assigned to the selected User Group
Context Menu
The context menu options allow the user to:
- Manage User Group Workflows: select this option or click the Add Workflows button to assign workflows to a User Group.
VimBiz workflows are pre-configured by Vimsoft to include all important forms, database table permissions and stored procedures required to successfully perform what the workflow's name and description entail
Please contact Vimsoft if a workflow appears to be missing permissions
Managing User Group's permissions using these workflows is the easiest and recommended method by Vimsoft
Workflows can be found via the VimBiz Smart Search feature or by clicking on a Category or Workflow Group under the Group Categories hierarchy
The Workflows tab contains the result of the Smart Search or the workflows contained in the selected Group Category or selected Workflow Group
The User Group Workflows tab lists the workflows already assigned to the selected User Group - User Group Workflows: the User Group Workflows form allows to find workflows assigned to the selected User Group
NOTE: Workflows can be removed from the selected User Group from this form
- Refresh (F5): refreshes the list of workflows
- Delete: removes the selected workflow from the list for the selected User Group
Forms, Tables, and Stored Procedures related to the Workflow being deleted will be affected as follow:NOTE: Forms: All Forms related to the Workflow will be removed EXCEPT for ones that: Are related to another Workflow owned by this User Group or have the "Lock Perms" checkbox checked
- Tables: Tables related to the Workflow will be removed EXCEPT the ones that: Are related to another Workflow owned by this User Group or have the "Lock Perms" checkbox checked
- Tables: SELECT, INSERT, UPDATE, DELETE permissions for Tables related to the Workflow will be updated to the next highest required permissions based on the Forms left in the User Group EXCEPT for the ones that have the "Lock Perms" checkbox checked
- Stored Procedures: Stored Procedures related to the Workflow will be removed EXCEPT the ones that: Are related to another Workflow owned by this User Group or have the "Lock Perms" checkbox checked
